Managing Policies
As well as displaying the details of all the available policies, the Profile > Policy screen allows policies to be managed.
Changing Policy Priority
Employees may belong to multiple groups; it is possible that an employee may be associated with more than one policy. If an employee is associated with more than one policy, the policy with the highest priority is used.
To change the priority of a policy:
1. Navigate to the Profile > Policy tab and then select the policy whose priority settings you want to change.
2. Click the Move Up button to set the priority level up or click the Move Down button to move the priority down.
3. Check the Priority column.
Editing a Policy
1. In the Profile > Policy tab, select the policy you want to change.
2. Click the Edit button.
3. Update the policy as needed and click Save to save the changes.
Deleting a Policy
Select the policy that you want to remove and then click on the Delete button.
Removing a user from the Policy Group
For sites with email or OpenID authentication, you can remove a user from the group by removing the user's group assignment as shown below and then reimporting the group.
For sites with Active Directory authentication, you can create a specific group for a policy and exclude the user from the group.
How policies are downloaded to user workstations
After one or more groups have been assigned to a policy, and Policy Print is enabled, during the user's first login, the Print Scout will talk to the Pharos Cloud server to download the policy to apply to the employee’s print jobs. The policy download consists of policy settings and the actual user policy. These are stored in the following location.
C:\ProgramData\PharosSystems\PrintScout\Stores\Policy
After this first policy download, each Print Scout automatically checks for updated policy definitions and employee policy assignments from the Pharos Cloud server once a day. If updates are found, the Print Scout will fetch them, but only data that applies to the employees that print from that workstation.
In summary, there are two ways policies are updated on user workstations:
- Wait for the daily Print Scout update (occurs every 24 hours).
- Restart the Pharos Print Scout Service . IT administrators can manually force an update of the policy definitions and settings on the workstations by restarting the Print Scout Service.
Note: Restarting a user workstation does not update policy definitions and settings.
Note: Starting from Pharos Cloud 3.6, policies are now applied on a user's initial print. In earlier versions, policies were only fetched and enforced after the user's first printing action.
